RFP for Lease CopierQ&A Posted October 20, 2025.Do you have Annual or Monthly volumes for devices looking to be replaced?Less than 3,000 total pages per month.It states the new units need to be 30PPM  however you have (2) that are 60 PPM and (1) 45PPM and (4) at 35PPM. Will there be any changes to the speed requirement.30PPM is the minimum we are looking for, we would like to see options for the additional speeds as well as additional cassettesRegarding fax capability. Will village use POTS lines or are you using some form of digital fax?Yes, the village will utilize current rj11 connections for fax.Do you currently use Papercut or any third party print management tools now? If so what is the product? If not will you just use native locked/hold print capability?We do not currently use any third-party print management tools, and yes we are looking for locked/hold print capabilityDoes village use Windows/Macintosh or Chromebooks to send jobs from to print devices?Windows only.What type of print server are you using and will that remain the same?Windows Server and it will remain unless a viable concept is presented.Do you need faxing on all multi-function units?Yes.Do you need RFID readers on all multi-function units?We would like to see this as an option.Do you need only secure authentication or also follow-me-printing?We would like to see the option for follow-me-printing.Do you need 4 paper trays on all multi-function units?Yes, we would like to see this as an optional cost.Do you need stapling and hole punching on all multi-function units?Stapling and collating on all.What is the typical usage volume for the current devices?Between 3,000 and 6,000 depending on workload.Should we base replacements on the minimum specs provided or based on existing device specs?Specs provided, but add options for the additional paper trays.Do you want to replace the (4) HP printers?At this time, we are just looking for service and toner on the HP printers.Could you please clarify the requirement for Date Stamping? Are you referring to applying a date stamp on digital prints produced directly from the printer, or on copies made through the scanner?Just for the ability to stamp the date (e.g. MM/DD/YYYY or DD/MM/YYYY)
